I don't see the CoAuthor Add-In, what do I do?

Refresh your Word add-ins. Follow the instructions here: How to Refresh the Office Add-Ins

Do we have to say anything to our clients if we use CoAuthor?

No need to disclose the use of CoAuthor. However, be cautious and avoid using CoAuthor if the client specifically requests not to employ AI assistance.

Is my data sent outside of our CoAuthor environment when I use AI features?

No. In CoAuthor's standard configuration, AI processing happens within your organization's CoAuthor environment — your data is not sent to external third-party AI services. See [CoAuthor Deployment: Key Components and Security] for more detail.

Can we still use PerfectIt as normal?

Certainly. You can continue to use PerfectIt.

Where does CoAuthor save content?

CoAuthor content is currently saved directly in CoAuthor.

Does it save to SharePoint Online (SPO)?

You cannot save directly to SPO. You can download it from CoAuthor and upload to SPO.

Can you open a document from SharePoint Online (SPO) directly into CoAuthor?

You cannot open a document from SPO directly into CoAuthor. You can follow the instructions on How to Add a Document and in step 5, choose "Select File" from the "Templates" dropdown menu, then select the document from your local file or folder.

Does CoAuthor allow collaborative authoring? How do we ensure that others can see the content as we are working?

CoAuthor enables collaborative authoring. Simply add team members to your project to allow them to view the content you are developing.

Can we use CoAuthor within client desktops?

Inside of a client desktop, you are in their system. A client could purchase CoAuthor software to use in their system.

Can CoAuthor handle macro-enabled (.docm) templates?

Currently, CoAuthor does not support macro-enabled (.docm) templates.

Can you work with client templates (and toolbars), not just Synchro templates within CoAuthor?

You can work with any template, whether ours or theirs and use any toolbar, just like in a regular Word.

How do you add a prompt to the library?

You can save prompts for yourself as there is a save prompt button. Please also review the steps in the following article: "How to Work with Prompts | Articles | Certara.AI | Intercom"

Can CoAuthor handle source documents like Excel files for the AI piece?

Excel support is not available at this time; however, compatibility with additional file types is planned for future updates.

Why would I ever use Summarization instead of Free Text, when Free Text examples are ‘Summarize...’? Is there something going on in the backend that makes these differently processed to Free Text?

Summarization and free text are two techniques used in natural language processing (NLP) to extract information from text. The free text involves extracting specific keywords or phrases from a given text, while summarization is a more advanced technique that involves generating a shorter version of the original text while retaining the most important information.

The main difference between these two techniques is that free text is more focused on finding specific pieces of information. At the same time, summarization is more focused on generating a coherent summary of the original text. Additionally, summarization often involves using machine learning algorithms to analyze the structure and meaning of the original text, which can make it more complex and computationally intensive than free text.

In terms of backend processing, both free text and summarization involve analyzing the structure and meaning of the original text, but summarization typically involves additional steps such as identifying key sentences or paragraphs, determining their importance, and generating a coherent summary. This can make summarization more computationally intensive than free text, but it can also result in a more accurate and useful summary.

What is the difference between ‘Copy to Project Prompt’ done from the Prompt Library or Sponsor Prompts workspace?

There is a subtle difference between copying a prompt from the Prompt Library versus the Sponsor Prompts workspace:

* When you copy a prompt from the **Prompt Library**, you are reusing a prewritten prompt that can be tailored to your specific needs. This prompt is likely a generic template that can be adapted for your project.

* When you copy a prompt from the **Sponsor Prompts** workspace, you are reusing a custom prompt that has been created by your team or organization specifically for your project or sponsor. This prompt is likely more tailored to your project's specific requirements.

In both cases, copying a prompt allows you to reuse existing prompts and save time in creating new ones.

Is there a size limit to the files you can upload?

The max file size supported in CoAuthor is 2 GB

Can you add zip files?

Not at this time.

Is it possible to do a brief demo of a CMC document, such as a batch analysis table, or a stability table?

Not currently. This task can be scheduled for a later date, following the use and feedback from some CMC writers on CoAuthor.

Is there going to be a distinct CoAuthor training for CMC/nonclinical writers? (We are looking forward to a demonstration where we can incorporate multiple document sources into the prompt, irrespective of file types, and generate a summary table that includes the necessary parameters under a given set of conditions.)

Currently, there is no training specifically tailored for 'writing groups,' as the CoAuthor training and software are designed to be neutral concerning writing groups. At present, CoAuthor does not generate tables from source input.

If a client needs a shell document, such as a CSR shell, is it intended that the results sections not be authored but rather just list the TFLs that will be summarized?

Can CoAuthor find/use a specific source table within a larger file of multiple tables and listings?

Yes

The new CoAuthor benefits the authoring environment by giving writers control over the document's content. Nevertheless, enhancing our automation capabilities remains essential for our business's narrative aspect. Narratives are distinct from other documents because they delve into individual patient details. Consistency in automation should be established before writers begin using CoAuthor. Following the launch of the new CoAuthor, will there be an increase in support and solutions for automating narratives?

Yes, Narrative features are a part of the immediate CoAuthor roadmap.

If you do your authoring in CoAuthor, does QC also need to be done within it? Or since collab auth is not possible yet, do we need to pull it out to SPO for QC?

Internal QC can be conducted in CoAuthor. However, this seems more of a writing process question, please inquire with the writing manager/leads.

I recently talked with colleagues from legacy-iDD who are creating an app that combines code-writing with exposure-response report generation in Quarto. I believe this could integrate well with CoAuthor initiatives. Could you direct me to someone on the CoAuthor team to explore this further?

I noticed that auto-save was off in the demo. Can it be turned on to auto-save within CoAuthor?

This cannot be turned on currently but is actively being investigated for a future release.

Can it create summary tables?

The current state of LLM is not where the AI will be creating tables. We can look to implement new models in the future with this capability.

How easy is it to update sections if a client updates/re-runs TFLs?

We are simplifying the process. Currently, you just need to upload the new files, attach them to the previously used prompt, and remove the old attachment. After that, rerun the prompt. The same applies to inserting tables directly into the document.

Why do documents open in read-only mode?

The documents may be opened in protected mode, preventing users from editing the document. Usually this can be fixed by clicking the "enable editing" button.

In some cases, the issue may still persist. This can be caused by an active VPN running on the computer the issue occurs on. It's best to reach out to your IT team to see if there are specific network policies preventing HTTP requests like PROPFIND, LOCK and UNLOCK.
