Admin Dashboard: Sponsors Tab

A sponsor is the top-level organizational unit — typically a client — and everything else in CoAuthor (projects, documents, templates, users, and licenses) lives underneath it. The Sponsors tab is where CAD Admins set these organizations up and control how their documents are stored: creating and managing sponsors, setting each sponsor's AI model, choosing between Certara-managed storage and the customer's Veeva Vault, configuring and testing Veeva connections, and managing who belongs to each sponsor.

What the Sponsors table shows

Column

What it means

Sponsor

The organization's name (a link that opens the sponsor's detail / settings).

Storage

Where this sponsor's documents live – “Certara” (Certara-managed storage) or “Veeva” (the customer's Veeva Vault). A check mark next to Veeva indicates the Veeva connection is configured.

Actions

The … menu with per-sponsor actions (Rename and Delete).

What you can do here

  • Search and filter by click to find a sponsor by name or storage type

  • + Sponsor button creates a new sponsor space with a unique name.

  • + Bulk upload – the entry point for adding several sponsors at once rather than one at a time.

  • Actions

    • Rename the sponsor if needed

    • Delete the selected sponsor if it is no longer needed

Specific Sponsor Settings

Click on a sponsor name to edit the following:

  • Default LLM Model - CoAuthor Admins can bring their own LLM and set a default model for their sponsor spaces, routing AI requests through an IT/InfoSec-approved provider such as OpenAI or Anthropic — without any change to the medical writer experience. This requires an initial setup step completed with the Certara DevOps team before the option becomes available in the app.

Setup process

  • Your organization provides LLM API keys to Certara.

  • Certara DevOps updates your configuration file to include the desired model.

  • Your CoAuthor instance will need to be restarted.

  • Choose your Default LLM Model from the dropdown.

  • + Add User(s) - Add users to specific sponsors and assign users the User, Creator, or Admin role
