Using Table Population in CoAuthor

Written by Kay Chen

The Table Population feature in CoAuthor enables you to automatically fill tables with data from your source files. This eliminates the need for manual data entry and helps reduce the risk of input errors.

Before you begin, ensure you have:

  1. Log in to CoAuthor.

  2. Navigate to the Projects Workspace.
Select the name of the project you want to open.

  3. Open the desired document.
    Click on the document name.

  4. When prompted with the “This site is trying to open Microsoft Word” modal, click Open.

  5. In the Word document:

    • Insert a table where you want to add data.

    • Click the CoAuthor Word Add-in to open the side panel.

  6. Create and select your table.

  7. Click the Prompt button, then choose Table Population.

  8. Enter a title in the TITLE field.

  9. Add a source:

    • Click the plus (+) icon in the top-right corner of the Sources box.

    • Select the checkbox next to the source containing the data you want to use.

    • Click Done.

  10. Save your changes.

Note: If you forget to click the Save button, a pop-up will appear prompting you to save your changes before navigating away.

  11. Return to the document view:

    • Click Back.

    • Click the vertical ellipsis (⋮) to open the Action Menu.

    • Select Generate Content.

⚠️ Warning:
Do not use the Delete option to remove data from the table after it has been generated. This action will remove the entire table, not just the data within it.
