How to Create Data Section Filters

The Data Section Filters tab in CoAuthor's Word Add-in offers a robust method for refining and managing your data. This feature enables you to apply multiple filters using the AND and OR logical operators, allowing for the creation of complex and precise conditions. Furthermore, you can group these filters to ensure they are evaluated in the correct order, which enhances both the accuracy and efficiency of your data queries.

This article assumes that you have already created a Data Section as outlined in the following article: Data Sections - How to Create Sections

Add a Filter

To add a Filter in the Data Section, follow these steps:

  1. Log into CoAuthor

  2. Open a Project

  3. In the Documents Tab, click on the Narrative Document Name

  4. Once the Narrative Document opens in Word, click on the Add-in to open it

  5. Click on the Data Sections tab

  6. Click on the Data Section you'd like to create a list for

  7. Click on the Filters tab

  8. Click on the Column menu to display the menu

  9. Click on a Column name to select the column

  10. Click on the operator menu to display the list

  11. Select an operator from the list

  12. Click on the Value menu to display the menu

  13. Select a Value from the list

  14. Click Save to save your filter selection


Add Additional Filters

To add additional Filters in the Data Section, follow these steps:

  1. Log into CoAuthor

  2. Open a Project

  3. In the Documents Tab, click on the Narrative Document Name

  4. Once the Narrative Document opens in Word, click on the Add-in to open it

  5. Click on the Data Sections tab

  6. Click on the Data Section you'd like to create a list for

  7. Click on the Filters tab

  8. Click on the Column menu to display the menu

  9. Click on a Column name to select the column

  10. Click on the operator menu to display the list

  11. Select an operator from the list

  12. Click on the Value menu to display the menu

  13. Select a Value from the list

  14. Click the plus sign next to Filter to add another filter

  15. Repeat steps 8 - 14 until the filter criteria meet your requirements

  16. Click Save to save your filter selection

Friendly Labels

The "Friendly Labels" checkbox allows the writer to display either acronyms or their corresponding full display names while utilizing the filters.

To display the full name for each list item in the column menu, click the checkbox next to "Friendly Labels"

Add a Group

To add a group of Filters in the Data Section, follow these steps:

  1. Log into CoAuthor

  2. Open a Project

  3. In the Documents Tab, click on the Narrative Document Name

  4. Once the Narrative Document opens in Word, click on the Add-in to open it

  5. Click on the Data Sections tab

  6. Click on the Data Section you'd like to create a list for

  7. Click on the Filters tab

  8. Click on the Column menu to display the menu

  9. Click on a Column name to select the column

  10. Click on the operator menu to display the list

  11. Select an operator from the list

  12. Click on the Value menu to display the menu

  13. Select a Value from the list

  14. Click the plus sign next to Filter to add another filter

  15. Repeat steps 8 - 14 until the filter criteria meet your requirements

  16. Click the sign next to Group

  17. Repeat steps 8 - 13 until the group filter criteria meet your requirements

  18. Click Save

Delete

To delete a filter or group of filters, click the trash icon.

🛑 Caution: Clicking the trash icon will permanently remove the filter or group of filters. This action cannot be undone and does not prompt a warning.
