How to Export Documents to Veeva

When enabled by your administrator, CoAuthor can push completed documents directly to Veeva Vault, keeping authoritative content traceable across both systems. Documents can be sent as brand-new Vault records or as updated draft versions of documents that already exist in Vault.

Export a New Document (No Existing Vault Record)

Use this flow when you are sending a document to Vault for the first time.

  1. Login to CoAuthor.

  2. Navigate to the project where the document is located.

  3. In the Actions column, click the ... menu next to your document and select Export to Veeva.

  4. Select the Veeva Document Type that applies to your document.

  5. Complete the following fields:

    • Veeva Subtype (if available)

    • Veeva Lifecycle

    • Veeva Product

  6. Click Export

  7. A successful banner will appear at the bottom

Note: CoAuthor uploads your document to vault with the metadata you selected. The lifecycle state assigned to the new record is determined by your tenant configuration.

Export an Update to an Existing Vault Document

Use these steps when a document already exists in Vault and you are pushing a revised version.

Open Export Options

  1. Login to CoAuthor.

  2. Navigate to the project where your document is located.

  3. In the Actions column, click the ... menu next to your document and select Export to Veeva.

  4. Click Export.

Note:

  • If you are not authorized to update the document in Vault, an error will be returned. Contact your Vault administrator to verify your permissions.

  • When the upload succeeds, CoAuthor displays the new major and minor version numbers returned by Vault.

  • Every export attempt — successful or failed — is recorded automatically in the CoAuthor Audit Log.
