When working with prompts in CoAuthor, you may find the need to update the source files associated with them—especially when new data becomes available, outdated references need to be removed, or you want to align multiple prompts with a consistent set of sources. Bulk updating sources streamlines this process, allowing you to efficiently manage and maintain the accuracy and relevance of your document’s content.
Prerequisite: This guide assumes you’ve already created a document and added sources to your prompts. If not, refer to the article: Working with the Prompts Tab.
To bulk update sources for multiple prompts, follow these steps:
Log in to CoAuthor.
Navigate to your project.
Open the document that contains prompts with attached sources.
Once the document is open, click on the CoAuthor Add-in to activate the side panel on the right-hand side of the screen. This panel allows you to manage prompts, sources, and other document elements efficiently.
In the Prompts tab, check the box next to each prompt you want to update.
Click the Selected button at the top.
From the Selected Actions menu, choose Manage Sources.
In the Manage Sources modal:
Check the boxes next to any sources you want to remove or update
Check the box next to the source
For additional granularity, you are able to select the prompts you need to remove or update from
Apply is enabled when a source document that was previously missing has been located again, allowing you to apply the found document to the prompt.
